Missing documents: clear statuses and targeted reminders

Missing documents: distinguish received from checked

You request four documents. You receive three files. Is the case file almost complete? Not necessarily: a file may be an old version, unreadable or missing the required information. Counting received documents is not enough to decide the next step.

Define the result before requesting a document

For each item, specify an observable criterion. “Send the programme” remains vague. “Send the approved programme, with the total duration and objectives, as a readable PDF” helps your contact understand what will be checked. The criterion must come from your actual need; do not invent a regulatory requirement.

A simple table may be sufficient: document, criterion, status, expected correction. Use a file reference rather than personal data in your examples and file names.

Five statuses that prevent false progress

A document can be to request, awaited, to correct, checked or not applicable. “Checked” means that a person has checked the defined criterion, not that a system has proved the document’s authenticity. “Not applicable” requires an explanation: do not remove a document simply to display a better percentage.

Consider a fictional workshop-planning example. The programme is checked. The participant list is awaited. The room plan needs correction. Building access is not applicable because the session takes place online. Three applicable items remain, with only one checked: 1/3, or 33%. The number of files submitted does not change this calculation.

A reminder that specifies the next action

A general reminder forces the recipient to reread the entire history. A targeted reminder saves them that work:

“Hello, for file FORM-024, we still need the participant list in the agreed version and the corrected room plan with confirmed capacity. Please submit these items through our usual channel before the stated date. The programme has already been checked: there is no need to send it again. If anything is blocking progress, could you specify what it is and give a realistic date for your response?”

Adapt the wording to the context and the commitments already agreed. An overdue deadline calls for a factual statement and a realistic date; it does not justify inventing a penalty or threat.

When a tool becomes useful

A spreadsheet suits a small, simple list. A local tool helps when you want to reuse scenarios, calculate completeness and prepare a message that excludes documents already checked. A collection portal is more suitable if you need to receive files, coordinate several people or automate reminders.

Dossier Fluide offers the second option: a French-language offline tool, four scenarios, JSON backup, CSV export and a 12-page guide, for a one-time purchase of €17. It does not collect documents or send emails. A PDF preview lets you examine the method before choosing.

Your first trial: take a fictional file, define three precise criteria and draft a five-line reminder. If the next action is clear for each document, you have already improved the tracking.
