Structure a long text: headings, sources and useful exports

Structure a long text without inventing its content

A long text can contain good ideas while remaining difficult to navigate. Headings at the same level, notes mixed with conclusions or an incomplete bibliography make reading harder. Before polishing the presentation, it is useful to check what the document actually contains and what its reader needs to find in it.

This method applies to a text you already have. It works with a standard word processor; DocPilot Studio can then help you organise the work and produce several formats.

Start by identifying the document

Write one sentence: “This document enables this person to understand or do this.” Then choose its type: report, course material, summary, dissertation or thesis. This choice guides the reading, but does not remove the need to follow your organisation’s or institution’s instructions.

Do not create chapters simply because they seem customary. If a section is missing, record the need to complete it. A “Results” heading does not supply the results. Similarly, classifying a text as a dissertation validates neither its method nor its academic standard.

Build a short, useful hierarchy

Read the headings on their own. They should describe the path proposed to the reader. Reserve the first level for major sections and the second for their component stages. Avoid descending through several levels for a single sentence.

Ask two questions about each paragraph: what idea does it convey, and which heading does it belong under? Move misplaced passages, distinguish instructions from explanations and bring repetitions together where the meaning remains identical. Keep a copy of the original before making any changes.

A table of contents then helps navigation. It does not correct a confused hierarchy, so check its entries before considering the structure complete.

Separate confirmed references from references to complete

Retain the bibliographic information you have: author, title, date and any other available details. Check that it corresponds to the relevant passages. A vague mention in notes must not become a complete reference through assumption.

You can keep two lists: checked sources and sources with missing information. Then choose a consistent presentation style in line with the required rules. Formatting a bibliography does not prove that a source exists or supports your claim.

Fictional example: a twelve-page report

Imagine Nora preparing a monitoring report for an association. Her text contains completed actions, difficulties and three references supplied by the team. She divides it into three sections: context, review of actions and decisions to make.

A note about an expense that is still unknown remains explicitly flagged. Nora does not turn it into an estimated amount. She checks the three references, reviews the table of contents, then exports a Word file for the team’s corrections and a PDF for reading. This example illustrates an approach without guaranteeing the outcome of another document.

What DocPilot Studio offers, and its limits

DocPilot Studio, offered at €39 as a one-time purchase for one user, imports TXT, Markdown and the text from DOCX files. It lets you adjust headings, create a linked table of contents, import your JSON, RIS or BibTeX references and export formats including an editable Word file or a paginated PDF.

Basic orthotypographic corrections are reversible. The optional grammar checker requires Java 17 or later and a separately installed LanguageTool server, which is not supplied. Human review remains necessary.

Before distribution, also check the substance: our guide to reviewing an AI-produced document provides a checking framework.

DOCX import does not retain images, equations, notes or the original layout. No references are searched for or invented. Manually back up your project and keep your original. Consult the formats and limits on the DocPilot Studio product page, or compare the DocPilot IA tools.
